OZARK EVENT RENTALS – RENTAL AGREEMENT & TERMS

DELIVERY, SETUP & STAIR ACCESS FEES

• Delivery Window: Standard delivery takes place between 10:00 AM and 5:00 PM on your scheduled delivery date. Specific delivery time slots outside this window must be arranged prior to event day.
• Standard Delivery & Rolling Access: Standard delivery includes drop-off to a ground-level area accessible by rolling cart. Our team will roll chairs, tables, and equipment as far as smooth surface rolling allows.
• Optional Setup & Breakdown Services: Optional full setup and arrangement services are available at $1.00 per chair and $3.00 per table.
• Stair Carry Fee: If equipment must be carried up or down stairs, an additional fee of 20% of the total order value per flight of stairs will be applied. Renter must notify Ozark Event Rentals of any stairs prior to delivery.

RENTER RESPONSIBILITIES

• Possession & Use: Renter agrees to operate equipment safely and lawfully. Items must remain at the delivery address specified in the order and cannot be moved, sublet, or transferred.
• Site Preparation: Renter must ensure the setup area is clean, level, and clear of pet waste, mud, glass, or sharp objects prior to crew arrival. Setup will be withheld until the area is ready; any resulting delays are the customer's sole responsibility.
• Underground Utilities: Renter must inform Ozark Event Rentals of all underground lines (gas, water, electric, septic, irrigation, lawn lighting) before anchoring equipment. Ozark Event Rentals is not liable for damage to undisclosed or unmarked underground utilities.

CLEANING, DAMAGE & REPLACEMENT FEES

• Equipment Return Condition: All rented equipment (tables, chairs, tents, inflatables) must be returned cleared of food waste, trash, silly string, and personal belongings.
• Post-Event Cleanup Assessment Fee: If equipment is returned with trash, excessive debris, or heavy food spillage left on tables or chairs, a post-event cleaning fee ranging from $70.00 to $300.00 will be assessed and charged based on the severity and cleaning labor hours required.
• Inflatables Heavy Cleaning: Inflatables returned with mud, silly string, food, or drink will incur a minimum cleaning fee of $75.00.
• Damage & Replacements: Lost, stolen, or permanently damaged items will be charged to the Renter at full current replacement value.

WIND & SAFETY POLICY To ensure guest safety, maximum operating wind limits are strictly enforced. Equipment must be evacuated and inflatables deflated immediately if these limits are reached:

• High Peak Tents: Up to 35 mph (without side walls); up to 25 mph (with side walls).
• Pop-Up Tents: Up to 20 mph (without side walls); up to 15 mph (with side walls).
• Water Slides: Operations must cease if winds exceed 20 mph.
• Bounce Castles: Must be deflated immediately if winds exceed 25 mph.
• Placement & Anchoring: Tents will not be installed closer than 1 foot (12 inches) to any structure. Heavy-duty staking is mandatory during elevated wind conditions; sandbags/weights are reserved for light wind conditions only.

CANCELLATION & PAYMENT POLICY

• Deposits: All booking deposits are non-refundable, except in the event of severe weather pre-delivery as verified by Ozark Event Rentals.
• Post-Delivery: No refunds or credits will be issued for unused items once equipment has been dispatched, delivered, or set up.

SITE CONDITIONS & RIGHT OF REFUSAL

• Right of Refusal: Ozark Event Rentals reserves the right to refuse setup on any surface deemed unsafe or likely to cause permanent damage, staining, or excessive soil to equipment (including active construction zones, severe mud, or animal waste areas).
• Liability for Delays: If setup is withheld due to unprepared or unsafe site conditions, Renter remains responsible for full order payment. No time extensions or refunds will be issued.

LIABILITY & INDEMNIFICATION

• Assumption of Risk: Renter assumes all risk, responsibility, and liability for the operation, use, and possession of rental equipment during the rental period.
• Indemnification: Ozark Event Rentals is not liable for injuries, accidents, property damage, or loss resulting from the use or misuse of rental equipment. Renter agrees to hold Ozark Event Rentals harmless from all associated claims.
• Insurance: Renter agrees to provide proof of commercial general liability insurance if required by property owner or event site.

ENTIRE AGREEMENT This document constitutes the entire agreement between Ozark Event Rentals and the Renter. Any modifications or amendments must be submitted in writing and signed by both parties.
